Information for Oral Presentation


    General Information
      The official language in the International Session is English.
Each speaker has 8 minutes presentation time and 7 minutes discussion time.

PowerPoint projection will be available in all session rooms. Overhead or slide projection will not be available.

Please make sure to be in the session room about 15 minutes before the start of the session in order to check the presentation system.

As a seat for the next speaker will be provided, please be sure to be seated there before your turn and be ready for your presentation.
      PC Preview Center  (Speaker Ready Room)
      You are requested to upload your presentation in the PC Preview Center (Sendai International Center 2F) 30 minutes before the start of the session at the latest.

In the case of morning sessions (before 10:00),
please deliver your presentation the day before.


In the PC Preview Center, a technician will make a copy of your presentation.  The technician will review the presentation with you to make sure all your material is copied correctly and give you back your original.

No slide editing facilities will be available in the PC Preview Center.

      Please prepare your presentation in English and use a horizontal (landscape) format.
      Data Storage Media
      Store your presentation file only on a USB flash memory drive or CD-R.

You are allowed to use your own laptop computer running Windows XP or Apple Power Macintosh for your presentation.

Each session room is equipped with a computer running Windows XP.  The PCs will have PowerPoint 2003.  Macintosh is not available.  (Please use your own Macintosh computer).

The use of PowerPoint 2007 is discouraged unless files are saved in the old 2003 format and confirmed to work with PowerPoint 2003.
      Fonts (Typefaces)
      To avoid display problems with your presentation, please use only standard OS fonts such as Times New Roman, Arial, Arial Black, Arial Narrow, Century, Century Gothic, Courier, Courier New, or Georgia.
      File Management
      Entitle your presentation file as "your presentation number + your name.ppt".

The size of your PowerPoint presentation should not be larger than 20 MB for the General Oral Session.

Note that the projection screen used in your session has XGA resolution (1024 x 768 pixels).

If you use animation in your presentation, please use your own computer.

Audio function will not be available for the general oral presentation.

To avoid the possible spread of computer viruses, scan your presentation files beforehand with up to date anti-virus software.

After your presentation, check your file with another computer to see if the functions work normally.

Please make a spare file in case you lose the data.

At the end of each session day, all presentations are deleted from the meeting room computers.
      Laptop Computers
      If you use your own computer for the presentation, please visit the PC Preview Center 30 minutes before the session begins and verify that your computer and LCD projector work together. 

The LCD projector will have a standard mini-D-sub15pin (three sequences) connector. If your computer has a different connector, please bring your own conversion cable.

      Please bring your own AC adaptor and have your computer powered on before your presentation.

For all computers, check the following settings.
**Cancellation of power-saving features: Cancellation of Sleep, Screen Saver, etc.
**Resolution of screen: 1,024 x 768 pixels (XGA) or less

Even if you bring your own computer, please make a spare file in case you lose the data.

The electricity voltage is 100V A.C. with a frequency of 50Hz in the Sendai area.

Please note that plugs in Japan are a 2 flat-prong type (similar to U.S. plugs, Type A), so a plug adapter for personal appliances may be necessary if you require a 3-prong or round plug.

Poster presentation

    General Information
      Please prepare your poster in English.  The official language of the presentation in the International Session is English.

The presentation time allocated for each speaker is 4 min followed by 3 minutes discussion.

Please prepare your presentation according to the instruction of session chairs.

You are requested to be in front of your panel 20 minutes before the session starts.

No computer and other audiovisual equipment are to be used for poster presentations.
      Poster board
      The board number will be shown in the upper left corner (20 cm wide X 20 cm high).

Please prepare a label showing the title, institution(s) and authors' name(s) with a size of 130 cm wide x 20 cm high.

The poster board area not including the title label is approximately 150 cm wide X 120 cm high.
      Recommendations for Posters
      Please determine a logical sequence for the material you will be presenting.  Organize that material into sections, e.g., Background Purpose, Methods, Results, Discussion, and Conclusions

A brief Background should appear at the upper left.  The Conclusions should appear at the lower right.  Purpose, Methods and Results should fill the remaining space.

The titles of posters must be readable at a distance of 2.5 m minimum, the written text at 1.5 m minimum.

Authors are responsible for setting up and removing their own material during the time below.  Push pins will be provided to mount posters.  Please do not use adhesive tape.  Posters that have not been removed after the removal time will be discarded by the Secretariat.

      Letter of Invitation
      Participants who require a letter of invitation in order to obtain a visa to enter Japan must request it to the Secretariat .
